From ticket category and PDF ticket to scan at the entrance — Quick Event covers the entire lifecycle of an event ticket. This article explains how to create ticket allotments, automatically send PDF tickets and Apple Wallet passes, and check in via QR code on the day of the event.

Overview

A quota is a ticket category with its own name, optional price, and optional capacity limit. Typical examples are "Standard Ticket," "VIP," "Early Bird," or "Workshop Add-on." Each quota can be free or paid, have a fixed participant limit, or be available without limits.

When a person registers , they select one or more ticket allotments. Quick Event then creates a booking with the selected tickets. After successful registration, participants automatically receive a PDF ticket via email —optionally also an Apple Wallet pass.

Create quotas

In the studio, you'll find the management section for all ticket categories under "Allocations ." Each allocation has a title and an optional description. Create as many allocations as you like—there's no limit.

You set capacity limits for each quota. Once a quota is sold out, it is automatically deactivated in the registration form . If you don't need a limit, leave the field blank—Quick Event will then treat the quota as having unlimited availability.

For staggered availability, simply create multiple quotas, e.g., an "Early Bird" quota with a limited number of units and a regular quota. If the Early Bird quota sells out, participants will automatically access the regular quota.

Group bookings can be set up using the "People per unit" field. A table ticket for 4 people automatically registers all 4 people with a single booking. This allows you to create family packages, table reservations, or team tickets without participants having to book multiple times.

PDF tickets

A PDF ticket can be automatically attached to every confirmed registration. Quick Event generates PDFs server-side at 300 DPI —print-ready and professional. Generation is fast: 500 PDF tickets are created in approximately 30 seconds.

In the studio, you design the PDF template using the integrated template editor. Place the event logo, participant name, QR code, capacity, and any other fields via drag and drop. The QR code is automatically embedded and contains the participant's encrypted check-in token.

PDF tickets are automatically attached to the confirmation email . Participants can download their ticket again at any time without having to contact the organizer. This works via a personalized link on the confirmation page.

Apple Wallet

In addition to PDF tickets, Quick Event also offers Apple Wallet passes . A Wallet pass is stored directly on the iPhone's lock screen—participants don't need to search for an email or open a PDF at the entrance.

Wallet passes contain the same QR code as the PDF ticket and also work offline — an internet connection is not required to show them at the entrance.

In the studio, you activate the wallet pass under PDF & Passes . There you configure the colors, logo, and which information appears on the pass. The wallet pass is sent via email along with the PDF ticket and can alternatively be added via the confirmation page.

Check in

On the day of the event, you can scan QR codes directly in your mobile browser . Quick Event doesn't require a native app—the check-in view works in any modern browser on smartphones or tablets. Simply open your event's check-in page and point your camera at the QR code.

A single check-in typically takes less than two seconds . After scanning, you immediately see the participant's name, the booked quota, and whether the person has already checked in. Duplicate check-ins are detected and displayed with a notification.

Multiple check-in stations can operate simultaneously. Any device with browser access can serve as a station—a dedicated tablet, a helper's smartphone, or a laptop at reception. All stations synchronize in real time : When a participant checks in at station A, station B immediately sees the updated status.

The dashboard lets you track the check-in progress live: How many participants are on site, how many are still missing? These figures are updated with each individual registration.

QR codes

Each participant receives a unique QR code upon registration. The code contains an encrypted token that is exclusively assigned to the respective participant. This virtually eliminates the possibility of sharing or forgery.

QR codes are embedded in the PDF ticket, included in the Apple Wallet pass, and also available as a separate image in the confirmation email. This ensures participants always have at least one access method—even if the PDF ticket isn't readily available, the QR code in the email or Wallet is sufficient.

During the scan, Quick Event verifies the token server-side in real time. Invalid, expired, or already used codes are immediately detected and displayed accordingly. All communication between the scanner and the server is encrypted.

Assign a price to any contingent and Quick Event handles the rest. At registration, attendees go through a secure Stripe Connect checkout — card, Apple Pay, Google Pay, SEPA, and other local methods are supported. After a successful charge, the attendee receives the same PDF ticket and Apple Wallet pass as for a free event, and the funds are paid out directly to your bank account by Stripe.

Refunds are issued in one click from the studio (Bookings → Refund), VAT-compliant invoices are generated automatically, and disputes are routed through the Stripe Dashboard. Quick Event never holds the money — Stripe Connect routes every payout straight to the organiser. The fee is €0.99 + 2.75 % per paid ticket sold, netted from each Stripe payout — no monthly fee, no setup fee, you only pay when you make money.
